  • Becoming a customer: once you book a job with us, further details are collected and held in Big Change, our job management system, and Xero, our accounting system.

We rely on the following lawful bases for processing your personal data:

  • Performance of a contract – where we need your details to give you a quote or carry out work you have asked for

Where we email existing or former customers about our services, we rely on the “soft opt-in” rule under PECR. This lets a business contact people it has a prior relationship with about similar products and services, provided you were given the chance to opt out when we first collected your details, and you can opt out of every message we send. Some of these, including Google’s services, are based outside the UK. Where this happens, appropriate legal safeguards are in place to protect your data. We do not sell your personal data to anyone.

8. Automated Decisions or Profiling

We do not use any automated decision-making processes or profiling, including targeted advertising.

9. Retention Period

We retain personal data only for as long as necessary:

  • If you make an enquiry that does not go on to become a job, we keep your details for two years.
  • If you become a customer, we keep your records for seven years from your last job with us, to meet our accounting obligations. Your records stay on our systems even if a particular quote does not go ahead, since jobs are tracked from the point of enquiry. We review our records periodically and remove accounts that are no longer active, and we do not send marketing to inactive accounts.
  • Google Analytics data is retained according to Google’s standard settings, currently 26 months by default.

You can always request the deletion of your data if you no longer wish for it to be stored.

10. Children’s Privacy

Our website is not intended for children under the age of 16, and we do not knowingly collect personal information from children. If you believe we have collected data from a child under 16, please contact us immediately to have that data deleted.

11. Legitimate Interests

In certain cases, we process your personal data based on legitimate interests, such as improving website functionality or communicating with you about services you’ve enquired about. We do not currently rely on any of the Recognised Legitimate Interests introduced by the Data (Use and Access) Act 2025, such as safeguarding or crime prevention.
